Inventory
Know what you have, before a customer asks
Stock counts itself down as orders are paid. You get told before you run out.
Stock
Shop · Storeroom · second branch
| Item | Shop | Store | Status |
|---|---|---|---|
| Takeaway packs — large | 18 | 0 | Low |
| Bottled water — crate | 6 | 22 | In stock |
| Chicken — kg | 14 | 40 | In stock |
| Foil trays | 0 | 3 | Finished |
Foil trays are hidden on your storefront until you restock, so nobody orders them.
The problem you know
You sell something and then find out it finished yesterday. Your best seller runs out on a Saturday and nobody notices until three customers have left. There's stock in the shop and stock in the store, and the only person who really knows is whoever went to check.
How it works
- 1
Stock moves when money does. An order holds the item; the payment settles; the stock comes down. If they don't pay, the hold releases and the item goes back on sale.
- 2
You get told before it's gone. Set the level you want to be warned at. The alert reaches you in your morning brief and on WhatsApp if you want it there.
- 3
Count when you want. Enter what's actually on the shelf, with a reason for the difference. Nothing is silently adjusted behind your back.

For different businesses
A boutique tracks every unit. A restaurant usually tracks what it sells rather than every tomato, and counts the store periodically — that's what most kitchens actually do, and it still gives you an honest margin. A car dealer's stock is one car, one sale. A tailor tracks fabric and trims, not every stitch. It arrives set up the way your trade works.
The detail
- One stock figure across WhatsApp, your store and your counter — sell the last one once, not three times
- Separate stock per location: the shop, the storeroom, the second branch
- Every movement recorded — sold, counted, damaged, returned, taken by staff
- Restock records, so you know what you paid for what you're holding
- Your storefront hides what's finished, so nobody orders it
Where we stop
Stock is only as right as what gets recorded. We count down everything sold through Smilelink automatically — what leaves through the back door is still yours to enter.
